These terms and conditions apply to all services provided by Hydrotherapy Studio, operated by Koaben Pty Ltd (ACN 603 302 450, ABN 40 603 302 450), located at 5/54 Kingston Rd, Underwood QLD 4119. By booking or attending a session, you agree to these terms.
1. Bookings & Cancellations
Appointments can be booked online or by phone. Cancellations must be made with at least 24 hours notice. Late cancellations (less than 24 hours) or no-shows may incur a cancellation fee of up to the full session cost. For NDIS, WorkCover, CTP, and Home Care Package clients: cancellation fees may not be claimable under your funding — you may be personally liable for late cancellation or no-show fees. We understand that emergencies happen — please contact us as soon as possible if you need to reschedule.
2. Payment & Billing
Private clients: payment is due at the time of service. We accept all major credit and debit cards and EFTPOS. Medicare clients: the gap between our fee and the Medicare rebate ($61.80) is payable at the time of service. HICAPS is available for on-the-spot private health insurance claims. Bulk-billed clients (NDIS, WorkCover QLD, CTP): you must provide valid referral and claim details before your first session. No upfront payment is required for bulk-billed services. Home Care Package clients: we invoice your HCP provider directly. Our standard rates are $91.50 (30 min), $137.25 (45 min), and $183.00 (60 min). Pool hire is $20.00 (30 min) or $40.00 (60 min).
3. Pool Use & Safety
All clients must complete a safety orientation before their first independent pool hire session. You must disclose any changes to your health condition before each session. Pool hire requires a current hydrotherapy program prescribed by a qualified practitioner. You must not attend a pool session if you have an infectious condition, open wounds, or are under the influence of alcohol or drugs. You must shower before entering the pool. Our staff reserve the right to refuse pool access if safety requirements are not met.
4. NDIS & Funded Clients
NDIS participants must have sufficient plan funding allocated to cover hydrotherapy sessions. We bill at the current NDIS Price Guide rate ($193.99/hr under item 15_055_0128_1_3). Plan managers may be invoiced directly. Participants are responsible for ensuring their plan covers physiotherapy and hydrotherapy services. Home Care Package clients must have written approval from their case manager before their first session. We invoice HCP providers directly and will liaise with your case manager to set up billing arrangements.
5. Liability
Hydrotherapy Studio and its practitioners take all reasonable precautions to ensure client safety. We hold current professional indemnity and public liability insurance. Aquatic physiotherapy involves inherent risks associated with water-based activity — clients participate with an understanding of these risks. You are responsible for disclosing all relevant health conditions and following safety instructions provided by your practitioner. We are not liable for loss of or damage to personal property brought onto the premises. Emergency procedures are in place and staff hold current first aid and CPR certifications.
6. Intellectual Property
All content on the hydrotherapy.studio website — including text, images, videos, exercise programs, and branding — is the property of Koaben Pty Ltd and is protected by Australian copyright law. This content may not be reproduced, distributed, or used for commercial purposes without prior written permission.
7. Changes to Terms
We may update these terms and conditions from time to time. The current version will always be available at hydrotherapy.studio/terms-and-conditions. Continued use of our services after changes are published constitutes acceptance of the updated terms. We will notify existing clients of material changes via email where possible.
